Customer re-engagement · Outlook drafts with human approval

Customer Re-Engagement Agent

Stop leaving revenue opportunities behind because follow-up depends on chance.

Problem

Revenue opportunities disappear quietly when nobody follows up.

Sales teams lose track of customers who have not been contacted for some time. Follow-up happens too late or not at all, even though the relationship exists and a personal message may be all that is needed.

Solution

The agent detects silence and prepares the next contact.

Your customer base is imported from an ERP export. Every night, the agent checks Outlook history and identifies customers beyond the configured contact threshold. For suitable cases, it creates a personal German follow-up draft in the responsible person's Outlook mailbox. Nothing is ever sent automatically: a person reviews and sends every message.

Fixed scope

One controlled process from customer data to a finished draft.

Import, detection, preparation and review are connected as a repeatable process. Incomplete records and technical failures stay visible instead of disappearing silently.

Clear boundaries keep the agent reproducible.

The fixed product scope uses verified Outlook access and file-based ERP exports. Other connectors are not promised until they have been implemented as reusable integrations.

  • Excel and CSV exports from any ERP

Not supported

  • Gmail / Google Workspace
  • Other email systems
  • Direct ERP API integrations

Under the hood

Effective on schedule without an always-running process.

AWS Step Functions runs the scheduled workflow in eu-central-1, while DynamoDB records status and review steps. Outlook is connected through Microsoft Graph. Text generation runs through Vertex AI in europe-west1, using short-lived Workload Identity Federation credentials instead of a persistent AI-provider key.

  1. 01

    ERP export + review queue

Excel or CSV data is validated during import. Incomplete records are routed visibly into a review queue.

  2. 02

    Nightly silence check

The agent compares Outlook history with the configured contact threshold and processes only customers who are due.

  3. 03

    Outlook draft + approval

A personal German message is placed as a draft in the relevant mailbox. The responsible person reviews and sends it.

Preparation becomes systematic, while the decision and sending remain entirely with your team.

In production

In use at Robe Kleiderbügel.

The agent connects ERP customer data with Outlook history, identifies dormant relationships and prepares German follow-up drafts in the responsible mailbox—without taking sending out of the team's hands.
